Close the mental loops


There’s a difference between being busy… and having 37 open tabs running in your brain at all times.

You know the ones:

“When did I last follow up with that lead?”

“Don’t forget to send that invoice.”

“When was that client’s feedback due again?”

“I need to circle back on that testimonial.”

Not all of them are urgent right this second. But they’re all just… there. Hovering.

That’s an open mental loop. And your brain hates open loops. It will keep nudging you about them at the most inconvenient times — while you’re on a walk, trying to fall asleep, mid-conversation, mid-client call, on the weekend when you’re trying to not work.

And it’s not necessarily happening because you’re disorganized. It’s more because your brain doesn’t trust that those things are stored somewhere reliable. This is where systems come in. Not giant, complicated, set-it-and-forget-it automation.

Just simple loop-closing tools:

  • A task in Asana with a real due date (that’s actually assigned to someone)
  • A recurring reminder with the information you need to complete it
  • Follow-up tasks that are created when a proposal is sent
  • A testimonial workflow that triggers so you don’t have to “remember” to ask
  • A “switch this back on Monday” task created before you go OOO

The moment it’s captured somewhere reliable, your brain can relax. That’s the real benefit of systems most people don’t talk about. It’s not just efficiency. It’s the mental quietness.

You don’t need to automate your entire business tomorrow. But you do need a consistent place where things live besides your head.

If something keeps popping up in your thoughts over and over again, that’s your cue. Ask yourself, can this be:

  • Automated?
  • Turned into a template?
  • Triggered by a status change?
  • Or at the very least, scheduled so I don’t have to carry it?

Because the goal isn’t to do more. It’s to stop mentally tracking the same task 12 times before you actually do it.

Close the loop. Your brain will thank you.
